The problem
Booking by phone tag takes the week
You keep the panel in a spreadsheet and availability in email. You call three offices, leave two messages, and email a fourth. The date that comes back is six weeks out, and the report will still be late.
- You cannot see who is actually free next week.
- You book an examiner then discover a conflict.
- A reschedule moves by email and the case does not.

Conflict and licence checked first
IMECore runs the COI check against claimant, client, and counsel, and verifies licence status before it proposes an examiner. A block needs an explicit override.
Demand meets supply in one view
The case shows the report due date and how much slack is left. The panel shows availability windows beside it, so you book against the real constraint.
Clinics held as places, not notes
Clinics carry address, accessibility, hours, and interpreter support. Booking ties the exam to a place with those facts attached.
No-show and reschedule by rule
Statuses cover booked, completed, no show, and rescheduled. Notice given and the cancellation window are recorded, so the fee follows the agreement.
A person approves the date
AI can chase availability by email, SMS, or phone, but a coordinator approves the booking and an examiner confirms it. Nothing books itself.

A coordinator approves the exam. The case moves to scheduled and the parties are notified.

Hold the date
Send the confirmation, track the exam, and record any reschedule with reason and time.

Close the exam
Mark the exam as completed or no show. A no show keeps the notice record for billing.

Questions people ask
Does IMECore book the examiner on its own?
No. The system collects availability and proposes times. A coordinator approves the booking and the examiner confirms. Every booking is a HITL step.
What replaces phone tag?
The panel and live availability. You see open slots in one place, and the system can chase availability by email, SMS, or phone where the examiner prefers it.
How are conflicts handled?
COI records live on the examiner and reference claimant, client, and counsel. On propose or book, IMECore checks and blocks or warns by workspace policy, with an override that is audit logged.
What if the examiner is late or cancels?
The exam status, the notice given, and the exception flags stay on the directory and on the case. Billing picks them up by rule.
Do you hold clinic rooms?
You book at a clinic profile that carries accessibility, hours, and interpreter support. The case links to that clinic, so the logistics are not free text.
